Job Title: Office Administrator
Location: RHINO - 505 W. Willard, Kalamazoo, MI 49004
Job Type: TBD - Part or full-time be considered based on candidate
Reports To: COO
Job Summary:
The Office Administrator is responsible for overseeing the daily operations of the office to ensure organizational effectiveness, efficiency, and safety. This role includes coordinating office procedures, financial administration, and maintaining a productive work environment.
Key Responsibilities:
Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
Manage office supplies inventory and place orders as necessary.
Assistance with maintaining office policies and procedures.
Coordinate maintenance of office equipment and facilities.
Assist in onboarding new employees and maintaining HR records.
Organize meetings, appointments, and office events.
Manage relationships with vendors, service providers, and landlord, ensuring all items are invoiced and paid on time.
Support budgeting and bookkeeping procedures.
Ensure compliance with company policies and industry regulations.
Handle confidential documents and information with integrity.
Qualifications:
Proven experience as an Office Administrator, Front Office Administrator, or Administrative Assistant.
Knowledge of office administrator responsibilities, systems, and procedures.
Excellent time management skills and ability to multitask and prioritize work.
Strong organizational and planning skills.
Proficient in Google Workspace, Quickbooks, and familiarity with office management systems.
High School degree required; additional qualification as an administrative assistant or Secretary will be a plus.
